ClientPulse Privacy Policy

This Privacy Policy explains how 1001643756 Ontario Inc., operating as ClientPulse ("ClientPulse," "we," "us") collects, uses, and protects personal information when you use clientpulsehq.com and the ClientPulse application (the "Service"). We comply with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

1. Information We Collect

Account information: your email address and authentication data when you sign up or log in. Content you provide: client names, project names, roles, and any notes or settings you enter to configure your briefings. Usage data: interactions with the Service such as impressions, clicks, and saves on briefing cards; we use this to operate features (like your Insights read-out) and improve relevance. Team data: if you join a team, your team membership, invitations, and items you choose to share with your team (visible to other team members along with your email address). Payment information: paid subscriptions are processed by our payment processor (Stripe); we do not store your full card details; Stripe's privacy policy governs its processing. Technical data: standard log data (IP address, browser type, device information) collected by our hosting infrastructure for security and operations. We do not knowingly collect information from anyone under 18.

2. How We Use Information

We use your information to: provide and personalize briefings; operate teams and sharing features; process payments and manage subscriptions; communicate with you about the Service; monitor usage, security, and performance; and comply with legal obligations. We do not sell your personal information, and we do not use your content to train AI models.

3. AI Processing

Briefings are generated using third-party large language model providers (currently Google's Gemini models). Inputs sent for processing are limited to what is needed to generate your briefing (e.g., client/project names and relevant public information). These providers process data under their own enterprise terms and do not use it to train their models under the terms we rely on.

4. Where Your Data Lives

The Service is hosted on cloud infrastructure (Lovable Cloud, built on Supabase). Data may be stored and processed in the United States or other jurisdictions outside Canada, where it may be subject to local laws. We use providers that maintain industry-standard security practices.

5. Sharing of Information

We share information only with: service providers that operate the Service (hosting, AI processing, payments, email); your team members, for content you explicitly share; authorities, where required by law; and a successor entity in the event of a merger or acquisition (with notice to you).

6. Security

Access to your data is protected by authentication and row-level security controls so that only you (and team members, for shared items) can access your content. We use encryption in transit and at rest via our infrastructure providers. No system is perfectly secure; notify us at hello@clientpulsehq.com of any suspected breach.

7. Retention

We keep your information while your account is active. If you delete your account, we delete or anonymize your personal information within a reasonable period, except where retention is required by law (e.g., tax and billing records).

8. Your Rights

Subject to applicable law, you may: access the personal information we hold about you; correct inaccurate information; withdraw consent or delete your account and data; and complain to the Office of the Privacy Commissioner of Canada if you are unsatisfied with our response. To exercise any of these rights, email hello@clientpulsehq.com. We respond within 30 days. If you are in the European Economic Area or UK, you may have additional rights under GDPR/UK GDPR (legal basis: contract performance and legitimate interests; rights to access, rectification, erasure, portability, restriction, and objection). If you are a California resident, you have rights under the CCPA/CPRA, including the right to know, delete, and opt out of "sale or sharing" (we do not sell or share personal information as defined by the CCPA).

9. Cookies and Local Storage

We use only essential cookies and local storage needed for login sessions and your preferences. We do not use third-party advertising cookies or cross-site tracking.

10. Changes to This Policy

We may update this Policy from time to time. Material changes will be notified via the Service or email before they take effect.
